Casey and Vanessa Russell, are the owners of Stronghold Real Estate providing Vacation Rental Management, focusing on strategies to maximize returns for our clients and our own Real Estate investments. For the average American, building a real-estate investment portfolio while working full-time, is the most realistic and repeatable path to financial freedom. Vanessa left her job as an attorney in 2019, and Casey left his job as an engineer in 2021. Now we want to share what we have learned with others who might do the same. Casey Russell is also a licensed Real Estate Agent under Texas United Realty providing realtor services and free mentorship for clients. Stronghold Real Estate was founded in 2015 specializing in high return real estate investment strategies including short term (Airbnb) & room rental properties. Casey is a licensed Real Estate Agent under Texas United Realty. Casey and Vanessa, and own the Short-Term Rental Management Company Stronghold Real Estate. Casey Russel holds a Mechanical Engineering degree and spent 17 years working in the Oil Gas industry including equipment design and project management until 2021. Vanessa Russell holds a law degree and spent 12 years representing clients with Mesothelioma from Asbestos poisoning. She took on corporate attorneys from some of the largest companies in the world to get the maximum benefit for her clients and their families. We’re looking for a highly capable developer or development team to build a custom Property Management Operating System + CRM with AI and automation features for Stronghold Real Estate.

The system will support multiple parts of our business, including:
• Short-term rentals
• Long-term rentals
• Property sales / real estate
• Property owners and client management
• Guest and tenant management
• Vendor and cleaner management
• Maintenance operations
• Property onboarding
• Client/owner onboarding
• Vendor onboarding
• Employee/VA onboarding
• Lead and sales CRM
• Accounting and invoice workflows
• Reporting and dashboards
• Documents and contracts
• Internal task and workflow management

We are open to using existing platforms, frameworks, APIs, and tools where appropriate, but the final system should be customized around our operations.

Key integrations may include:
Hostaway, PriceLabs, Airbnb, VRBO, Gmail, Google Calendar, Google Drive, Slack, Dialpad, GoHighLevel, QuickBooks, Stripe, DocuSign, Ring, Schlage, NoiseAware, Forewarn, Zillow, HAR/MLS, and other third-party APIs.

We also want extensive AI capabilities, including:
• AI assistants for staff
• AI-powered guest and tenant communication
• Email and SMS drafting
• Email classification and routing
• Automated task creation
• Conversation summaries
• Maintenance issue analysis
• Vendor recommendations
• Guest complaint analysis
• Review and sentiment analysis
• Lead qualification
• Owner reporting
• Revenue/pricing recommendations
• Document extraction and analysis
• AI-powered search across company information
• AI agents that can perform approved actions inside the system

The system should support automation and workflow logic such as:

Reservation created → tasks generated → team assignment → reminders/escalations → check-in workflow → checkout workflow → cleaning → maintenance → post-stay follow-up.

We also need role-based access and dashboards for different users, including management, property managers, VAs, cleaners, vendors, owners/clients, sales/realtor staff, and accounting.

External portals should eventually include:
• Owner portal
• Vendor portal
• Cleaner portal
• Tenant portal
• Guest portal

The system should work well on desktop and mobile, with the possibility of both a responsive web application and mobile apps.

We are primarily looking for someone strong in:
• UI/UX
• Understanding business operations and translating them into software
• Workflow automation
• API integrations and webhooks
• AI/LLM integrations
• CRM and operations software development

Property management experience is a plus but is not required if you are technically strong and can understand complex operations.

Experience with technologies such as React, Next.js, databases such as PostgreSQL/Supabase, Vercel, APIs, webhooks, OpenAI/Claude or other LLMs, automation platforms, and third-party SaaS integrations is highly desirable.

You may use your preferred development tools, including Claude Code, Codex, Cursor, or similar AI-assisted development tools.

The working arrangement is open for discussion and may be project-based, hourly, part-time, full-time, or ongoing after the initial build.

This season always makes me pause and reflect on where we started, the mistakes we made, and why Stronghold Real Estate exists in the first place.

For years, I did what I was “supposed” to do. I spent 17 years as an engineer, and my wife Vanessa spent 13 years as an attorney. On paper, everything looked great. Stable careers. Long hours. Good income.

But something was missing.
More responsibility did not mean more freedom. Time with family became the trade-off. The finish line kept moving.

We did not want to stop working. We wanted our work to work for us.

That is when we discovered short-term rentals. At first, it was just one property. Then came the hard lessons. Pricing mistakes. Guest issues. Bad advice. Late nights fixing problems we did not even know existed.

Nothing about this journey was easy. But it was real.

In 2021, everything changed. Our short-term rental income exceeded our W-2 income. That moment was not luck. It was the result of systems, discipline, and learning the hard way.
