Vehicle Rally Refund update for Car and Motorcycle Exhibitors:

We’d like to thank you all for your patience, and understanding.

The Club is now in a position to issue refunds to car and motorcycle exhibitors. Our Treasurer is currently processing these, and refunds will be returned via the same payment method originally used. Please allow 10–14 days for the refund to reach your account.

We’ve been incredibly touched by those who have reached out and kindly offered to donate instead. Your generosity and support mean a great deal to us. Unfortunately, accepting the donation would add another layer to the process and make processing the refunds more complicated in having to contact all bookings on an individual basis. As a small group of volunteers we do not have the capacity to do this. Therefore we have taken the decision to proceed with refunds for all.

Two students have been awarded bursaries by Gosport Rotary Club to support their first year of university studies as part of the Gosport Rotary Academic Bursary Scheme (GRABS).

Amelia is off to study Peace, war and international relations and Brodie medicine.

Thank you Gosport And Fareham Inshore Rescue Service for allowing us to use your venue to do our presentation.

The bursaries were presented by Lesley Brunink, Chair of the GRABS committee, and Gosport Rotary Club President, Ray Drake assisted by the Mayor of Gosport, Kirsten Bradley.

STATEMENT Event Cancellation – Clarification

We are aware that there have been a number of questions and concerns surrounding the cancellation of the event, and we want to provide some clarification.

The decision to cancel was not taken lightly and advice was sought from Hampshire Fire & Rescue before proceeding to do so following a prolonged period of dry weather. Concerns arose regarding the condition of the field and the ability to safely accommodate the anticipated level of vehicle traffic. With more than 400 vehicles expected and the site having one access point, there were significant concerns about congestion, vehicle movement and the ability to safely manage an evacuation within these dry conditions.

While other events may continue, as a small club of volunteers, the circumstances, layout and access arrangements for this particular event are very different. The decision was therefore made with the safety of attendees, volunteers and the surrounding area as the priority.

Why are exhibition tickets not being refunded?
The treatment of ticket payments is in accordance with the booking terms and conditions accepted at the time of booking. This policy was advised by the supplier of our online registration management system. There has never been any intention to profit from this and the issue is currently being reviewed.

Event Costs and Supplier Commitments
The event has incurred substantial financial commitments and has resulted in non-refundable deposits, cancellation fees and contractual penalty charges being incurred by stallholders, entertainers and other suppliers. These costs, together with other unavoidable event overheads, must be settled before any remaining refunds can be considered.

We recognise that the cancellation is disappointing but we hope this statement provides reassurance that the decision was made responsibly and that the financial position is being handled in accordance with the agreed booking terms and conditions.

We thank everyone who supported the event and appreciate their patience and understanding whilst we work through the logistics.

After careful consideration of the current hot weather conditions and the increased risk of wildfires, we have made the difficult decision to cancel the event.

The safety and wellbeing of our visitors, stallholders, volunteers, wider community and surrounding properties must remain our highest priority. The combination of high temperatures, dry conditions and the potential for wildfire presents additional fire and safety risks that we do not feel it would be responsible to accept.

We have taken into account the current weather conditions, fire risk and advice received regarding our event safety arrangements. While we appreciate that this decision will be disappointing, we believe cancellation is the safest and most responsible course of action.

We would like to thank everyone who has supported the event and apologise for any inconvenience caused.

Thank you for your understanding and cooperation.

The end of June saw the Gosport Rotary Club celebrating our 2026 Presidential Installation alongside over 100 years of service to our community.

We were honoured to welcome the Mayor as our Guest of Honour, highlighting the strong and valued partnership between Rotary and our local community.

A highlight of the evening was the presentation of a cheque to the Mayor’s chosen charities demonstrating our continued commitment to supporting local causes and making a real difference in our community.
