Event planner tip: Room capacity and usable event capacity are not always the same thing.

A ballroom may be listed to hold 300 people, but that number can change once production is added.

Hotels and venues often give you the room’s maximum capacity—but that number may not reflect the space needed for AV, staging, screens, production tables, speakers, camera positions, and other elements needed to support the event.

Those pieces all take up space, and they’re placed intentionally.

Once the room is set, moving tables or screens can affect more than the floor plan. Screens are positioned so the audience can see them, and audio is aimed based on where attendees are seated. If the seating layout changes, the audio team may need to readjust the sound to properly cover the room.

That’s why the guest count, room layout, and production setup should be planned together from the beginning.

The question isn’t just, “How many people does the ballroom hold?”

It’s, “How many people does it hold once the event is actually built?”
