• Answer, screen, and forward incoming phone calls.
• Answer all communication received via phone, emails and through our property management system.
• Upload all maintenance requests
• Assist the Property Manager with rent collections, late notices, posting rents, serving notices
• Generate correspondence to tenants including but not limited to announcements, and legal notices
• Assist with and manage tenant delinquency
• Assist the Property Manager with taking 30-day notices and processing move-outs
• Establishes friendly and helpful working relationships with residents
• Helps supervise employees and ensures performance at or above standards in all areas
• Communicates regularly, professionally, and effectively with government agencies and Company staff
• Helps ensure that the Property is in compliance with all Local, State and Federal employment laws, including, human rights and equal employment opportunities
• Provide accounting and clerical support to the accounting department.
• Inspect maintenance repairs done by personnel to ensure work is up to par
• Show available units, process leasing application, and execute leasing contracts
• Request proposals from vendors as directed by Manager
• Communicate with vendors, generate work orders, and inspect complete work orders.
• Conduct weekly inspection of property and prepare a summary report of the property activity, conditions observed, and traffic
• Prepares monthly financial accounting, reporting, and explanation of variances
• Treats all tenants with the highest level of concern and care, and trains property employees to do the same
• Other duties may be assigned as needed
Skills:
• Must be bilingual (English and Spanish)
• Possess critical thinking, problem solving, and organizational skills
• Experience in working independently as well as collaboratively
• Ability to work cross-functionally with ease
• Excellent communication (written and oral) and interpersonal skills
• Self-motivated; can demonstrate initiative and sense of urgency in daily duties
• Proficient with Microsoft Office (word, excel, powerpoint, etc)
• Experience using office equipment, like printer and scanner (Scan documents and print files, when needed).
• Working Knowledge of a Property Management software
• 20% travel within assigned portfolio required with own vehicle
• Ability to walk and climb stairs.
• Must maintain professional appearance
• Ability to be professional at all times under stressful situations
• Dependable, flexible and have highest ethical and professional conduct, integrity, and able to handle confidential and sensitive information appropriately
Requirements:
• MUST be able to pass a credit & background check.
• MUST possess a valid Driver’s License and have a reliable form of transportation.
• We require a High School Diploma or equivalent. A Bachelor’s Degree in preferably in Business Administration, Management or other relevant degree is strongly preferred.
• Good communicator able to manage relationships and build rapport with others.
